The Essential Hardware of a Point of Sale (POS) July 29, 2010

Regardless of what point of sale software your company buys, you will also need the necessary hardware to complete the system and allow you to start running your business at peak performance. This hardware allows employees to easily interact with the software while completing their daily tasks. A lot of the hardware is standard, even in stores that do not have a POS system, but either way, using this hardware is really the only way you can use your software efficiently.

Aside from the computer, which includes a monitor and keyboard, the main hardware is:

Scanner - The scanner is an easy way to simplify and streamline the buying process. A clerk can easily scan bar-codes, which are either provided on the item by the manufacturer and then inputted into the computer, or printed with a custom code via a thermal sticker printer. Either way, when a scanner reads a bar-code it will pull up the information needed to complete the sale: It will pull up all the price information and also remove the item from inventory when the sale is completed.

Credit Card Reader - As many customers purchase with credit card only, it is extremely important to have a credit card terminal. A point of sale specific keyboard may include a credit card reader, or stand alone ones can be used as well. Either way, the reader will be connected to the POS system, informing the system and the clerk when a transaction is verified.

Cash Drawer - This is where all the money, receipts, and important documents will be stored. It connects easily via USB to the main computer. Whenever a transaction occurs, the drawer opens electronically so that money can be exchanged and then stored. As long as the clerk has provided exact change throughout the day, the POS system will have the exact end of day total inside the drawer.

Receipt Printer - The receipt printer is another necessary item for any store. Receipts allow the store and the customer to keep track of the sales made. POS receipt printers will print as much information on the receipt as you want. This can include all the item information as well as store contact information and return policies. Connecting seamless to the computer, the receipt prints up as soon as a transaction is completed.

Although these items are all necessary to run a business and have an efficient POS system, the need for top of the line hardware will usually depend on the size and specific situation of the store. For some, a touch screen monitor can eliminate the need for a keyboard or a specialized auto-sensing scanner will replace an inexpensive hand-held scanner. Therefore, in order to determine whether the simple basics aren’t enough, it is important to recognize who will be using the equipment, the environment they’ll use it in, and how often.
